Procedures for Registration to the Conference

ALL PARTICIPANTS MUST BE REGISTERED, EVEN IF YOU ARE ATTENDING THE COMMITTEE MEETINGS/AGM. For Conference Registration, Hotel Reservation and Social Programme, all participants must submit a complete online registration form. Incomplete registrations cannot be processed. Confirmation of the registration will be sent only when the corresponding payment is received. The registration data is held by MCI Suisse SA and is accessed and used only in connection to the EphMRA Conference. Registration at the Venue
The Registration desk at the Newport Bay Club® Convention Centre opens on Tuesday at 08.00 and will stay open throughout the Conference as indicated below. It is located in the Foyer of the Newport Bay Club® Convention Centre.
If you intend to register on-site we are unable to guarantee having the delegate bag/Conference materials available and the hotel accommodation could well be fully booked. So please arrive early if you wish to register on-site.

Procedures for Registration to the Pre-conference Masterclasses
The Pre-conference Masterclasses are ONLY open to EphMRA Full and Associate Members and are limited to ONE delegate per company, per workshop.

The Masterclasses are free of charge for EphMRA Full and Associate Members registered to the Conference.

If you are an active EphMRA Committee Member only attending your Committee Meeting and EphMRA AGM (and not staying on for the Conference) then you can attend a Masterclass on a complimentary basis.

If a Pre-conference Masterclass is booked and the registered participant fails to turn up and have not cancelled by 12 June 2009 in writing to MCI Suisse SA, an invoice of CHF 1’400 will be issued.

Name substitutions to Masterclasses can be made at any time but only to another person in the same Member company, provided the person is an EphMRA Member and provided the person is registered to the Conference.

Masterclass Registration Conditions

• Being an EphMRA Full or Associate Member
• Being an active Committee Member for at least one year and not staying for the Conference - only the Committee Meeting and AGM
• Being registered to the Conference
• In case of “No Show” a fee of CHF 1’400,- will be applied
• In case of “No Show” on Tuesday, no access to the second part of the Masterclass on Wednesday possible, and “No Show” fee will be applied
• Name substitutions can be made at any time but only to another Member of the company, provided this person is an EphMRA Member and is registered to the Conference

Procedures for Registration to Committee Meetings
Only Committee Members who have been active and have served on Committees for at least one year can register as Committee Member.

The persons attending the Committee’s Meetings need to be registered to the Conference, and to register specifically to the given Committee Meeting.

Procedures for Registration to the AGM

The EphMRA Annual General Meeting - for Members ONLY - will take place on Wednesday 17 June 2009 from 11.30 to 12.15.

The AGM is open to all Full and Associate Members and is free of charge. You do not have to be a registered Conference delegate to attend a Committee Meeting or the AGM free of charge. However, should you wish to attend the AGM only, kindly contact MCI Suisse SA in advance or at the Registration Desk on-site.

Registration Fees

NOTE: PHARMA COMPANY PERSONS/FULL MEMBERS ARE ALLOWED TO ATTEND THE AGENCY FAIR ON THE WEDNESDAY FREE OF CHARGE.

EphMRA 2009 REGISTRATION FEES
Save on the registration fees by registering before 10 March 2009!!

Fees payable in CHF only. VAT 19.6% excluded.

Early registrations will be accepted until 10 March 2009 until midnight (GMT+1). The reduced fees will only apply when early registration is accompanied by payment and received by the said deadline (10 March 2009, midnight GMT+1). If your payment is not received by the deadline, the mid-deadline registration fee will be automatically charged. The same applies between the mid-deadline and the late deadline with their respective dates as indicated above.

All registrations received by 10 March 2009 and which remain unpaid by 10 April 2009 will automatically be charged the next level of fees. All registrations received by 5 May 2009 which remain unpaid by 5 June 2009 will automatically be charged the highest fee level. Any invoices which remain unpaid on registration at the Conference are subject to late payment penalties:

If, after 90 calendar days from the date of the first invoice if the first invoice and/or penalty fee invoice remains unpaid then membership of EphMRA is suspended for a period of 12 months from the date of the first invoice.

1. EphMRA Full Member
To register as Full Member, membership has to be fully paid up at time of registering.

2. EphMRA Associate Member
To register as Associate Member, membership has to be fully paid up at time of registering.

Important notes:
- Conference Member fee is limited to 8 delegates per member company after which the “Non-Member” fee prevails.
- Associate membership is by company.

7. EphMRA Agency Fair Assistant (Member and Non-Member)
Important note: Agency Assistants CANNOT attend the Conference sessions.

EphMRA Agency Assistant (Member and Non-Member) registration fee includes:

• Attendance to Agency Fair ONLY on 17 and 18 June 2009
• Coffee breaks during Conference days (17 & 18 June 2009)

Payment Procedures
To facilitate processing, participants should clearly indicate in all remittances their name, address and the purpose for which the payment is made.

Registration Confirmation
A confirmation of registration will be sent only when the corresponding payment is received. Participants should bring the letter of confirmation to the registration desk at the Conference Venue when collecting their name badge and bag.

Modification & Cancellation
Modification Policy
Changes to your original registration must be made in writing to the MCI registration department (ephmra.reghot@mci-group.com). Name substitutions can be made at any time for an administrative fee of CHF 150,- per person until 10 March 2009, and CHF 300,- from 11 March 2009. There is a limit of 2 name changes per registration. Name substitutions are only possible within your company, if you wish to substitute a Non-Member for a Member then the difference between the registration rate is payable at the time of substitution.

Cancellation Policy
Cancellations of your registration must be made in writing to the MCI registration department (ephmra.reghot@mci-group.com) before 10 March 2009. An administrative fee of CHF 150,- will be deducted from all refunds. No fees will be refunded after this date. EphMRA will not accept any liability for any losses and/or damages participants may suffer on account of alteration or cancellation for any reason including ill health. Participants are advised to arrange adequate travel and health insurance.
