Procedures for Registration to the Conference

Secretariat at the Venue
The Secretariat desk at the Estrel Convention Centre opens on Tuesday at 08.30 and will stay open throughout the Conference as indicated below. It is located in the Foyer of the Estrel Convention Centre. It is not possible to register on-site.

Procedures for Registration to the Pre-conference Masterclasses
The Pre-conference Masterclasses are ONLY open to EphMRA Full and Associate Members and are limited to ONE delegate per company, per workshop.

The Masterclasses are free of charge for EphMRA Full and Associate Members registered to the Conference.

If you are an active EphMRA Committee Member only attending your Committee Meeting and EphMRA AGM (and not staying on for the Conference) then you can attend a Masterclass on a complimentary basis.
If a Pre-conference Masterclass is booked and the registered participant fails to turn up and have not cancelled by 12 June 2010 in writing to MCI Suisse SA, an invoice of CHF 1’400 will be issued.

Name substitutions to Masterclasses can be made at any time but only to another person in the same member company, provided the person is an EphMRA member and provided the person is registered to the Conference.

Masterclass Registration Conditions

• Being an EphMRA Full or Associate Member
• Being an active Committee Member for at least one year and not staying for the Conference - only the Committee Meeting and AGM
• Being registered to the Conference
• In case of “No Show” a fee of CHF 1’400,- will be applied
• Name substitutions can be made at any time but only to another member of the company, provided this person is an EphMRA member and is registered to the Conference

Procedures for Registration to Committee Meetings
Only Committee Members who have been active and have served on Committees for at least one year can register as Committee Member.

Those attending the Committee’s Meetings need to register for the Committee Meeting.

Procedures for Registration to the AGM

The EphMRA Annual General Meeting - for Members ONLY - will take place on Wednesday 23 June 2010 from 11.40 to 12.15. The EphMRA Annual General Meeting is opened to Full Members ONLY and is free of charge.

You do not have to be a registered Conference delegate to attend a Committee Meeting or the AGM free of charge.

Registration Fees

EphMRA 2010 REGISTRATION FEES
Save on the registration fees by registering before 10 March 2010!! The online registration for the early bird fee will close on 10 March at 5pm Swiss time and registration re-opens at the mid fee on 11 March. Kindly note that it is not possible to register on-site.

To register and get the fee levels which apply to you please ensure you have your registration code - there are different registration codes for Members/Non members/Committee members/AGM Attendees. Please contact EphMRA for your code - generalsecretary@ephmra.org

All fees are quoted in CHF (Swiss francs) and payable in CHF only. 19% German VAT will be added on.

Full Members can attend just the AGM and or the Agency Fair for free (no Conference sessions included) - please contact EphMRA for a registration code.

If you are just speaking at a Masterclass Training session and not staying for the Conference then please contact EphMRA for your registration code. You still need to be registered so that a name badge can be provided.

All registrations are nominative ie one registration = one name, no place sharing is possible.

Only Associate Members and Non Associate Members can book exhibition booth spaces and Agency Fair Assistants.

Early registrations will be accepted until 10 March 2010. The online registration for the early bird fee will close on 10 March at 5pm Swiss time. The reduced fees will only apply when early registration is accompanied by payment and received by the said deadline (10th March 2010 at 5pm Swiss time). If your payment is not received by the deadline, the mid-deadline registration fee will be automatically charged. The same applies between the mid-deadline and the late deadline with their respective dates as indicated above.

All registrations received by 10 March 2010 and which remain unpaid by 10 April 2010 will automatically be charged the next level of fees. All registrations received by 5 May 2010 which remain unpaid by 5 June 2010 will automatically be charged the highest fee level. Any invoices which remain unpaid on registration at the Conference are subject to late payment penalties:

If, after 90 calendar days from the date of the first invoice if the first invoice and/or penalty fee invoice remains unpaid then membership of EphMRA is suspended for a period of 12 months from the date of the first invoice.

EphMRA Full Member
To register as Full Member, membership has to be fully paid up at time of registering.

EphMRA Full Member registration fee includes:

• Free registration to the pre-Conference Masterclasses, provided you are fully registered to the Conference. No show
  fee is CHF 1’400.
• Admission to all Conference sessions and Agency Fair (23 & 24 June 2010)
• Conference documents, including name badge
• Final programme
• Coffee breaks during Conference days (23 & 24 June 2010)

EphMRA Associate Member
To register as Associate Member, membership has to be fully paid up at time of registering.

Important notes:

• Conference Member fee is limited to 8 delegates per EphMRA member company after which the “non-member” fee prevails.
• Associate membership is by company.

Important note: Accompanying Person means spouse or partner (a business colleague, co-worker or associate may NOT be registered as an Accompanying Person).

EphMRA Agency Fair Assistant (Member and Non-Member)
Important note: Agency Fair Assistants CANNOT attend the Conference sessions.

EphMRA Agency Assistant (Member and Non-member) registration fee includes:

• Attendance to Agency Fair ONLY on 23 and 24 June 2010
• Coffee breaks during Conference days (23 & 24 June 2010)
• Lunches during Conference days (23 & 24 June 2010)
• Welcome Cocktail on Tuesday 22 June 2010 if registered
• EphMRA Evening Event on Wednesday 23 June 2010 if registered

Procedures of Payment
To facilitate processing, participants should clearly indicate in all remittances their name, address and the purpose for which the payment is made.
Either of the following means of payment can be used:

American Express, EuroCard/MasterCard and Visa cards are accepted.
Please fill in your credit card details as required on the on-line registration.

Please indicate “EphMRA - free of charge for the receiver account”, as well as your name and your file number.

A copy of the bank transfer should be sent as soon as you have registered on-line. Payment by personal cheque cannot be accepted. All payments to be made in CHF.

Registration Confirmation
A confirmation of registration will be sent only when the corresponding payment is received. Participants should bring the letter of confirmation to the Secretariat desk at the Conference Venue when collecting their name badge and bag.

Modification & Cancellation
Cancellation Policy
Cancellations of your registration must be made in writing to the MCI registration department (ephmra.reghot@mci-group. com) before 10 March 2010. An administrative fee of CHF 150,- will be deducted from all refunds. No fees will be refunded after this date. EphMRA will not accept any liability for any losses and/or damages participants may suffer on account of alteration or cancellation for any reason including ill health. Participants are advised to arrange adequate travel and health insurance.

Modification Policy
Changes to your original registration must be made in writing to the MCI registration department (ephmra.reghot@mcigroup.com). Name substitutions can be made at any time for an administrative fee of CHF 150,- per person prior to 10 March 2010, and CHF 300, from 10 March 2010. There is a limit of 2 name changes per registration. Name substitutions are only possible within your company, if you wish to substitute a non-member for a member then the difference between the registration rate is payable at the time of substitution.
